Log In: Visit <a rel="noopener nofollow" class="external-link is-unresolved" href="https://www.amazon.com.au/" target="_self">https://www.amazon.com.au/</a> and log in with your Cheil Amazon account. If you don't have one please request an invite from Matthew or Mirae.
Choose An Item: Search through the item catalog on Amazon Business and select the item you would like to purchase.
Add to Cart: Once you have decided on an item, add it to the cart. Ensure the quantity and item details are correct before proceeding to checkout.
Checking Out: Once at checkout you may be presented additional fields, these will be checked by Finance so please fill these in with the required information. If the fields are not relevant for the purchase, please enter N/A.<br>

Submitting an Order: Once all required information is required you can submit your order for approval. Once submitted, the Finance team will review the information you have provided and the items to be purchased. Receiving an Order: When the order has been approved by Finance you will get an email notifying you, then the order's payment will be automatically processed and then dispatched, no further action is required.

Every order placed must be approved by a finance member on Amazon before it will be processed by the seller

Every order placed is sent to these Finance members for approval before any payment is processed by the platform. Approval Request Notifications: When an employee submits an order, the designated approvers from Finance will receive an email notification from Amazon, similar to the below:
<img alt="Pasted image 20260505123546.png" src="cheil-it-manual/images/pasted-image-20260505123546.png" target="_self"> Reviewing the Order: The email notification (pictured above) will include a yellow button labelled 'Approve or reject this order' clicking this button will bring you to a page containing the full order details, including information like the Job Number, EO Number and Budget Tracker Link if available.
If the purchaser has included incorrect information for example an incorrect Job Number, you will also be able to modify it from this page by clicking 'Change'. The order review page will look similar to the below:<br>

Once the order is Approved or Rejected, the purchaser will be automatically notified via email. Adding Notes: If rejecting an order, please include a brief reason in the text box located above the 'Approve' or 'Reject' buttons. Approval Expiry
Orders that are not actioned within 7 days from the submission date will automatically expire, and the associated order will be cancelled.
If this happens the purchaser will need to re-submit the order. Please check Amazon Business approvals regularly to avoid delays.
As a Finance member with Amazon Business access, you will be able to view invoices for all purchases across Cheil Australia, regardless of who has purchased it.

The new starters username and login information must be created prior to the start date, as in many cases this process can take up to a few days.Cheil Account Setup
If not already submitted, request for P&amp;C to create the users profile in GATE (Freelancers) or in GHR (Contract/Permanent), alternatively submit a GATE submission yourself
Once it is both approved and completed by the relevant PIC's you should receive an email with subject containing 'SR Done' with the Employee ID (Cheil.com) and certificate key (Samsung Knox). These are used to set up the User ID for the respective platforms
For creation of the Cheil.com ID visit <a rel="noopener nofollow" class="external-link is-unresolved" href="https://o365m.cheil.com/profilecenter" target="_self">https://o365m.cheil.com/profilecenter</a> from within the Cheil network
<br>To modify the User ID for Cheil.com (Outlook, Teams and HQ Systems) click on the 'Change mail alias button:<img alt="Pasted image 20260210124611.png" src="cheil-it-manual/images/pasted-image-20260210124611.png" target="_self">
When prompted for the login details, enter the users Employee ID as the 'ID'. For the password, type c# then paste the Employee ID and remove the last digit. Once you are logged in create a username for the employee combining their first and last name, and a number if necessary, eg: m.suesse
<br>Lastly, to activate the username, mailbox and assign a license you must reach out to Peter (RHQ) <a data-tooltip-position="top" aria-label="mailto:junhyun.p@cheil.com" rel="noopener nofollow" class="external-link is-unresolved" href="mailto:junhyun.p@cheil.com" target="_self">junhyun.p@cheil.com</a> or Yanny (HQ) <a data-tooltip-position="top" aria-label="mailto:yanny.yu1@partner.samsung.com" rel="noopener nofollow" class="external-link is-unresolved" href="mailto:yanny.yu1@partner.samsung.com" target="_self">yanny.yu1@partner.samsung.com</a> with the Employee #, Employee Name, and the Cheil.com username you have set to complete the setup, as shown:<img alt="Pasted image 20260309143854.png" src="cheil-it-manual/images/pasted-image-20260309143854.png" target="_self">
Knox Account SetupWith the Cheil account setup out of the way, we can now setup the Knox account for the new employee.

<br>Of the options shown make sure you select Certificate Key as this is what you will receive in the 'SR Done' email mentioned earlier<img alt="Pasted image 20260309145303.png" src="cheil-it-manual/images/pasted-image-20260309145303.png" target="_self">
Once you have entered the certificate key and the employees name, you will be taken to a username selection screen. This username MUST match the username of the Cheil.com account, if the same username as the Cheil.com is unavailable on Knox then change the username on Cheil.com (see above) to a different variation and then check if it is also available on Knox
Once a username for Knox has been confirmed you will be taken to a screen to fill out the users information, firstly enter a password based on but not containing the employees name, combined with some numbers and symbols. It should be exactly 12 characters long.
Then proceed to fill out the company address (3 Murray Rose Avenue), backup email (the employees Cheil.com address), Job title, etc
Once the necessary fields are filled, proceed to submit the user profile, it is typically approved and usable within 2-3 hours
Adobe Acrobat SetupSince the 12th March 2026 a new licensing system has come into effect. Adobe Acrobat no longer requires an approval to be submitted, so if access is required please ask John or the relevant IT contact to install the file on the machine. No further action is required.Adobe Creative Cloud Setup
To submit the license approval for Adobe Creative Cloud you will need to log into the employees Knox account (on their behalf)

<br>Once you are on the MINT application page, click apply and then fill out the fields as needed. When you get to the reason field, enter 'To complete daily tasks' and submit the application, to verify it was submitted go to the Approvals section of Knox Portal and check if it shows up under 'Submitted'

These will be useful in later steps and will allow us to backup emails and various files for their team to reference and ensure continuity within the business.
Request the employee for their laptop login details, this consists of their Windows/Mac login username and login password.
Once they have provided it to you/typed it into the form, lock the machine and test if it has been recorded correctly.
Once the laptop login has been recorded we can move onto the next account - the Cheil.com (Outlook/Teams. For this one, explain that it will be the login for their Outlook and Teams and ask them to record the password.
Once they have provided it to you, open a browser tab and type in <a rel="noopener nofollow" class="external-link is-unresolved" href="https://outlook.office.com" target="_self">https://outlook.office.com</a> Once on Outlook web, try to login using the provided Cheil.com details, if they do not work or the user did not know their password in the previous step, you can reset it here by selecting 'Forgot my password'
While logging in please note if the user is prompted to enter a 6 digit code sent to their mobile, or if they type in a 2 digit login into the Microsoft Authenticator app, if so we will have to remove this later.
<br>Lastly, their Google login - whether this one is recorded depends on if the user is a member of our Google Workspace tenant, this can be checked on <a rel="noopener nofollow" class="external-link is-unresolved" href="https://admin.google.com" target="_self">https://admin.google.com</a> -&gt; Users -&gt; Search their name
If the name pops up you can skip recording their Google login, otherwise, request them to provide the password they have set for their Cheil Google account.
Pre-Exit tasks should be completed while the employee is still in the office as they either require action or input from the employee, that otherwise cannot be easily done without them in the office.Setting an Out of Office
The first one would be to set an out of office message on Outlook/Teams (it doesn't matter which one is chosen as they are synced). The way this is done changes depending on what kind of device the employee is using - Windows or Mac.

Removing Cheil.com 2FA
<br>To remove the 2FA from the employees Cheil.com account please start by navigating to <a rel="noopener nofollow" class="external-link is-unresolved" href="https://outlook.office.com" target="_self">https://outlook.office.com</a> and log into the users account
<br>Once logged in, click the profile picture at the top right of the screen and click the 'View Account' link<img alt="Pasted image 20260318120937.png" src="cheil-it-manual/images/pasted-image-20260318120937.png" target="_self">
Now click the three lines (not the 9 dots) at the top left to access the menu and click Security Info
<br>When on the page, proceed to delete all additional sign in options until 'Password' is the only remaining option. Some examples of what to delete include 'Phone, Microsoft Authenticator, Microsoft Authenticator (in Outlook Mobile) and Email:<img alt="Pasted image 20260318121148.png" src="cheil-it-manual/images/pasted-image-20260318121148.png" target="_self">

Removing Apple ID from a Mac
<br>To remove an Apple ID from a Mac you must navigate to the system settings, this can be accessed using the Apple logo at the top left of the screen, then select 'System Settings' as shown:<img alt="Untitled 6.png" src="cheil-it-manual/images/untitled-6.png" target="_self" style="width: 623px; max-width: 100%;">
<br>Once in System Settings, if an Apple ID is logged in for the laptop it will show a name and profile picture towards the top of the screen:<img alt="Untitled 7 1.png" src="cheil-it-manual/images/untitled-7-1.png" target="_self" style="width: 350px; max-width: 100%;">
To remove it, simple click on the users profile (Matthew Suesse in this case) and then press the 'Sign Out' button at the bottom of the screen
How to Check and Transfer Google File OwnershipNote
If the user is a part of our Google Workspace tenant you can skip these steps and can easily delete the users Google account + transfer all files to another team member. Please ask the employee which team member their files should be transferred to. <br>To check the ownership of Google files, advise the employee to go to <a rel="noopener nofollow" class="external-link is-unresolved" href="https://drive.google.com" target="_self">https://drive.google.com</a> or search Google Drive in their browser and open it
Once on Google Drive, from the menu on the left advise them to select 'My Drive'
From here, advise them to go through, and any files that say 'Me' in the Owned by column should be transferred to another team member if they are still relevant/actively used
To transfer the ownership, press the "person with a + symbol" (the share button) and send an invite to be an editor to the other team member, if they aren't already an editor
Once the team member is an editor of the document, press the share button again and click the editor permission next to the team members' name. When you do this you should now see an option 'Transfer Ownership' in the dropdown
How to remove screen lock from company mobile
Navigate to settings on the Samsung phone then find the section something similar to 'Screen Lock and AOD' this can vary according to the model of the phone.
Once on the page set the mode to 'None' or 'Swipe' - this may require the users existing pin code or password
How to remove Samsung account from company mobile
Similarly to the Apple account, if a Samsung account is logged into the company phone it will show the name and profile picture right near the top
To log out the Samsung account, tap on the profile and towards the button you will see a round sign out button, once you press this it will typically send an email to the registered user for it to verify them, advise them to click the link in the email sent to them by Samsung to complete the logout process
How to remove all other accounts from the company mobile
Still in settings scroll down until you find the section 'Accounts' click on this and it will display all logged in accounts on the mobile
For each account you or the employee would like the remove from the mobile, click on the account and then click remove
Post-Exit tasks can be completed once the employee has left the office without further interaction from the employee being off-boarded. These should be completed the same day or the day after the scheduled off-board date.Changing the Cheil.com Password

Ensure the password is 12 characters, doesn't contain the users first or last name and has at least 1 uppercase, lowercase, number and symbol. Once you have chosen the password, record it on the TOT and submit the password change.
How to deactivate and transfer Google Account

Search for the user by 'First Name' in the search bar
